Kelly Anne Dance Academy

Privacy notice

Last updated: 20 October 2026

This notice explains how Kelly Anne Dance Academy (KADA) collects, uses and protects personal information about our students, their parents and guardians, and anyone who contacts us. Most of our students are children, so we take particular care with the information we hold.

Who we are

Kelly Anne Dance Academy (KADA) is the data controller for the information described in this notice. You can contact us about anything in it by emailing kelly@kellyannedance.academy or by calling or sending a WhatsApp message to 07983 427069.

What we collect and why

When you book a free trial class

Our booking form asks for your child’s first name and age, whether they have danced before, the venue and class you would like, your name, email address and mobile number, and how you heard about us. You can also tell us anything else you would like us to know. We use this to arrange the trial class, contact you about it and send you our terms and conditions.

If you use our class finder first, your answers (your child’s age group, the type of dance and the days that suit you) are passed to the booking form so you do not have to type them again. The class finder does not store your answers.

When your child joins KADA

Our New Student Form asks for your child’s full name and date of birth and, for older students, their own email address and mobile number if they have them. It also asks for your name, home address, email address and phone numbers, an emergency contact, any medical details we should know in an emergency, your choice about photos and video, and your signature to confirm you accept our terms and conditions. We use this to run classes safely, keep in touch with you, manage payments and enter students for exams.

When you send us a message

Our contact form asks for your name, email address, phone number (optional), what your message is about, the venue and your message. We use this only to reply to you.

When you order uniform

Our uniform order form asks for the student’s name, whether they need the girls’ or boys’ uniform, how you would like to pay and your email address. We use this only to agree sizes and payment and to place your order. These orders are stored on our website.

Payments

Fees are collected by Direct Debit through our Direct Debit provider, which handles your bank details under its own privacy notice. We keep a record of payments made and due.

Medical information

Medical details are especially sensitive. We ask for them only so we can keep your child safe and respond properly in an emergency, and we ask for your consent to hold them on the New Student Form. Only the KADA teachers who need to know will see them, and we will share them with emergency services or medical staff only if your child needs help.

Photos and video

We take photos and video in class and at shows and events. We only use images of your child on our website, Facebook page or other publicity in line with the choice you make on the New Student Form. You can change your mind at any time by letting us know in writing; an email, text or WhatsApp message is fine. We will then stop using new images of your child and remove existing ones from our website and social media where we can.

CCTV at our venues

Some of the venues we hire use CCTV for security and safety. It is operated by the venue, not by KADA, under the venue’s own policies.

Our lawful reasons for using your information

UK data protection law says we must have a lawful reason for using personal information. We rely on:

Who we share information with

We never sell your information or share it for marketing. We use a small number of trusted services to run the school, and they may only use your information on our instructions:

We may also share information where the law requires it, for example with the police or the local authority for safeguarding reasons.

Some of these services, including Jotform, may store information outside the UK. Where they do, the transfer is protected by safeguards recognised under UK data protection law.

How we keep information safe

Information from our online forms is kept in password-protected accounts, and any paper records are stored securely. Only KADA staff who need the information for their work can see it.

How long we keep information
